Privacy Policies and AI: Being Transparent About How You Use AI
Customers and AI assistants both read your policy pages. Clear, honest statements about how you use AI and data build trust and answer common questions.
⚫ Millions ask AI daily ➜ 🔵 AI recommends YOU ➜ ⚫ Prospects visit your site ➜ 🔵 Convert to customers
A privacy policy that clearly explains whether and how your business uses AI helps two audiences: customers who want to know what happens to their data, and AI assistants that answer questions like “Does [company] use my data to train AI?” Plain, accurate statements on public pages reduce the risk of an assistant guessing or repeating rumours. This page covers communication, not legal advice; your lawyer should review any policy.
Why Buyers Ask AI About Your Data Practices
Before signing up, people increasingly ask assistants questions such as:
- “Is [app name] GDPR compliant?”
- “Does [CRM tool] use customer emails to train its AI?”
- “Which accounting software keeps data in the EU?”
If your website does not answer these clearly, the assistant has to rely on forum threads, old articles or nothing at all. A clear answer on your own site gives it something accurate to use.
What to Explain About AI Use
If your product or service uses AI, describe it in plain words, ideally on a dedicated page linked from the privacy policy:
- Which features use AI, such as a chatbot, recommendations or document analysis
- Whether you use an outside AI provider, and the type of provider
- Whether customer data is used to train models, yours or a provider’s
- Where data is stored and for how long
- How customers can opt out, if they can
- Whether a human reviews important automated decisions
If you do not use AI with customer data, say that too. “We do not use your files to train AI models” is a sentence buyers look for.
Write a Short Summary Above the Legal Text
Most privacy policies are long legal documents. Add a “the short version” box at the top with five or six plain statements. For example: “We store your data in Frankfurt. We never sell it. We do not use it to train AI. You can delete your account at any time.” These short statements are easy for readers and machines to understand and quote. The legal text below remains the binding version.
Build a Trust Center
For B2B companies, a trust or security page gathers everything buyers check: certifications you actually hold, subprocessors, data locations, uptime history and a contact for security questions. Link it from the footer. Assistants answering “is this tool safe for enterprise use?” may draw on exactly this type of page. Only list certifications and audits you can prove.
Keep Policies Consistent and Dated
Show the date of the last update and keep older versions available if your regulations require it. Make sure your app store listings, help center and sales materials say the same thing as the policy. Conflicting statements are worse than none. The guide to LLM content governance explains how to keep public statements aligned.
Common Mistakes
- Vague phrases such as “we may use data to improve our services” with no detail on AI
- Hiding the AI section deep inside a 10,000-word policy
- Claiming compliance with a standard you have not checked
- Forgetting to update the policy after adding an AI feature
Correcting Wrong Claims About You
If an assistant states something false about your data practices, first make sure your own pages state the truth clearly. Then check whether an outdated article or review is the likely origin, and ask for a correction where possible. Our page on correcting wrong AI information lays out the steps.
How Keboost Helps
Keboost tracks the questions buyers ask AI about your brand, including trust and privacy questions, and shows what the assistants say today. It helps you create clear content that answers them. It is not a legal service and does not promise how any assistant will respond. Run a free AI visibility check to see what AI says about you.
