How to Monitor AI Citations: A Manual Step-by-Step Method
You can start monitoring AI citations with a spreadsheet and an hour a month. Here is a simple method you can run yourself.
⚫ Millions ask AI daily ➜ 🔵 AI recommends YOU ➜ ⚫ Prospects visit your site ➜ 🔵 Convert to customers
To monitor AI citations, pick a fixed list of buyer questions, ask them in the same assistants on a regular schedule, and record whether your brand is mentioned, whether your site is linked, and who else appears. Keeping the method consistent matters more than the tool. A simple spreadsheet is enough to start, and it teaches you a lot about how assistants talk about your market.
Step 1: Choose 15 to 25 Prompts
Write prompts the way customers speak, not as keywords. Mix three types:
- Discovery: “What are good CRM tools for a small recruitment agency?”
- Comparison: “[Your brand] vs [competitor], which is better for freelancers?”
- Brand facts: “What does [your brand] cost?” or “Is [your brand] available in Canada?”
Keep the wording fixed. Changing a prompt changes the answer, which makes trends impossible to read.
Step 2: Pick Your Assistants
Choose the ones your customers likely use. A common set is ChatGPT, Gemini, Perplexity, Copilot and Claude. Note whether web search was used, since that affects sources. Perplexity always shows source links, which makes it a useful place to see citations clearly.
Step 3: Set Up Your Tracking Sheet
Create columns for:
- Date
- Assistant
- Prompt
- Brand mentioned? (yes/no)
- Position in answer (first, middle, end)
- Your URL cited? (yes/no, which page)
- Competitors mentioned
- Other sources cited
- Accuracy issues (wrong price, old product, etc.)
Step 4: Run Checks the Same Way Each Time
- Use a logged-out or fresh session where possible, so your history does not shape answers.
- Use the same country and language settings.
- Run each prompt more than once if you can. Answers vary, so two or three runs give a fairer picture.
- Check monthly. Weekly is fine for a few critical prompts.
- Save a screenshot or copy of the full answer, so you can look back later if something changes.
Write down any settings you used, such as whether search mode was on. A small note now saves confusion later when you compare months.
Step 5: Read the Results Calmly
One missing mention is not a crisis, and one appearance is not a win. Look for patterns over two or three months:
- Which prompts never mention you? Those are content gaps.
- Which third-party sites keep appearing? Those are places worth being present on, honestly.
- Which facts are wrong? Trace them to outdated pages or listings and fix them.
A Quick Example
A dog grooming salon in Manchester tracks “best dog groomer in Manchester for anxious dogs”. After three months, the sheet shows the salon is never mentioned, but a local directory and a review site appear every time. The salon’s own site never mentions anxious dogs at all. That single finding gives a clear next step.
Step 6: Turn Findings Into Actions
For each gap, decide one action: write or improve a page, update a listing, pursue a genuine review or press mention, or correct a wrong fact. Then watch that prompt specifically in the next cycle.
When Manual Monitoring Stops Working
Manual checks become slow once you have many prompts, several markets or languages, or need history for reporting. That is when a dedicated tool helps. Compare options in our overview of LLM citation tracking tools, and see how to measure AI visibility for metrics ideas.
