The short answer

Entity optimization means making it unambiguous who your business is: its exact name, what it does, where it operates and how it connects to other things. AI assistants like ChatGPT are more likely to describe and recommend a brand they can identify clearly. You achieve this with consistent naming, structured data, linked profiles and accurate entries in public knowledge bases.

What an entity is

An entity is a distinct thing with attributes. “Keboost” is an entity; “AI visibility” is a topic. For your business, attributes include legal and trading names, founding year, founders, headquarters, product names, categories and service areas. When these attributes are stated the same way across many sources, a model can connect them into one confident picture. When they conflict, the model may mix you up with a similarly named company, or leave you out. For background, see entity SEO vs keyword SEO.

Step 1: Choose one canonical description

Write a reference sheet with:

  • Official name and any accepted short form (and stop using others).
  • A one-sentence description: “[Name] is a [category] that helps [audience] [do what] in [place].”
  • Address, phone, website URL, founding year.
  • Main product or service names, spelled the same way every time.

Use this sheet for every profile, press release and directory listing.

Step 2: Add Organization structured data

On your homepage or about page, add JSON-LD using the schema.org Organization type, or a more specific one such as LocalBusiness, Dentist or SoftwareApplication. Include name, url, logo, description, address, foundingDate and contactPoint. Validate it with a schema testing tool.

Step 3: Connect your profiles with sameAs

The sameAs property lists the official profiles that represent the same entity: LinkedIn company page, social accounts, Crunchbase, app store pages, a Wikidata item if one exists. This helps machines confirm that these profiles all describe one business.

Step 4: Check public knowledge bases

  • Wikidata. If your organisation meets Wikidata’s notability guidelines, an accurate item with references can help. Do not create one for promotion only; follow the community rules.
  • Business registries and industry databases. Make sure your entries are correct and current.
  • Google Business Profile and Bing Places for businesses with a physical location.

Step 5: Disambiguate

If another company shares your name, say clearly what makes you different: “Nova Dental, a dental clinic in Leeds (not Nova Dental Supplies)”. Use your location and category in titles and descriptions so the distinction is obvious.

Step 6: Strengthen relationships

Entities gain context from connections: founders with their own profiles, partners, integrations, awards you actually won, memberships in industry bodies. Mention these on your site with links, and make sure the other side mentions you too where appropriate.

How to check your entity in ChatGPT

Ask “What is [your company]?” and “Who founded [your company]?”. If the answer is wrong, vague, or describes a different company, you have an entity problem. Fix the sources, then re-test over time. Our page on verifying brand data for AI has more checks.
