ChatGPT Custom Instructions for Brands: What They Can and Can't Do
Custom instructions shape how ChatGPT answers you, not your customers. Here is how brands can use them well, and what actually influences the answers other people see.

The short answer
ChatGPT custom instructions are a personal setting. They tell ChatGPT how to respond to the person who wrote them, so they are useful for your own team, but they do not change the answers your customers receive. To influence what ChatGPT says about your brand to other people, you need clear public content, consistent facts and mentions on sources the model can read.
What custom instructions actually are
In ChatGPT’s settings, a user can describe who they are and how they want answers written. ChatGPT then applies those preferences to that user’s conversations. Workspace versions for teams work in a similar way: an admin or member can shape responses inside that account. None of this is shared with the wider public or used to rank brands for other users.
This is a common point of confusion. Some business owners hear that they can “instruct ChatGPT” and assume they can tell it to recommend them. That is not how it works, and any service that sells “custom instructions that make ChatGPT recommend you” is selling something that cannot do what it claims.
Good uses of custom instructions inside a brand team
Used internally, custom instructions save time and keep your content consistent. Practical ideas:
- Brand voice. Describe your tone (“plain, friendly, no jargon, British spelling”) so drafts need less editing.
- Fixed facts. List your official company name, founding year, service area and product names so drafts don’t drift.
- Audience. Explain who you write for, for example “owners of small accounting firms in Belgium”.
- Formatting rules. Ask for short paragraphs, a direct answer first and clear headings, which also makes your published pages easier for AI assistants to quote.
- Words to avoid. Note claims your legal team does not allow, such as “best” or “guaranteed”.
Keep a shared copy of these instructions in a document so every team member uses the same version.
A simple template you can adapt
- “We are [Company], a [what you do] serving [who, where].”
- “Our official facts: [prices or plans], [locations], [opening hours], [key products].”
- “Write in [tone]. Start with a one-sentence answer, then explain.”
- “Never invent statistics, customer names or reviews. Mark anything uncertain.”
- “When writing FAQs, phrase questions the way a customer would ask them.”
The last point matters. Customers type full questions into AI assistants, such as “which bookkeeping software works for a two-person café?”. Content written around real questions is more likely to match what people ask.
What does influence what customers see
ChatGPT’s answers come from what the model learned during training and, when it browses, from live web results. So the levers are public:
- A website that states clearly what you do, for whom, where and at what price.
- The same facts repeated consistently on directories, review sites and social profiles.
- Mentions in independent sources: trade publications, comparison articles, local news, partner pages.
- Technical access, so search crawlers can read your pages.

A quick test you can run today
Open a fresh chat with memory and custom instructions turned off, or use a private window with no account. Ask the questions your customers ask, such as “best project management tool for architects”. Note whether your brand appears and how it is described. That neutral answer is closer to what a new customer sees than anything inside your own customized account.
