No business can fully control how AI assistants describe it, because answers are built from training data and live web results written by many people. What you can do is shape the picture: publish one clear description, make it consistent across every profile you own, correct wrong third-party sources and earn fair, accurate coverage. Over time, assistants tend to reflect what the web says about you most clearly and most often.

Step 1: Find Out What AI Says Now

Ask several assistants open questions about your brand:

  • “What is [brand] and who is it for?”
  • “What are the pros and cons of [brand]?”
  • “How does [brand] compare to [competitor]?”
  • “How much does [brand] cost?”

Write down every claim. Mark each as correct, outdated, incomplete or wrong. Where the assistant shows sources, note them. These are your leads.

Step 2: Write Your Reference Description

Draft a short, factual description you would be happy to see quoted. Keep it free of hype. Example for a translation agency: “Lingua Sud is a translation agency in Montpellier specialising in legal and medical documents in French, English, Spanish and Arabic, with certified translators for official use.” Also prepare a fact list: founding year, location, services, typical price range, main customer types.

Step 3: Make Your Own Channels Consistent

Put the same description and facts on your website, Google Business Profile, Bing Places, LinkedIn, social bios, marketplace profiles and press kit. Add Organization structured data. If you changed name, price or address, update every place and explain the change on your site.

Inside your company, share the reference description with sales, support and anyone who writes about you, so new content does not drift away from it.

Step 4: Fix Third-Party Sources

Outdated directory listings, old reviews quoting old prices and articles with errors can keep wrong facts alive. For each one:

  1. Claim the listing if the platform allows it, and update it.
  2. Contact editors politely with the correction and a source.
  3. Reply to reviews that contain outdated facts with a calm, factual update.

Some assistants also have feedback buttons on answers. Using them is fine, but fixing the underlying sources usually matters more. For bigger problems, see correcting wrong AI information.

Step 5: Address Weaknesses Honestly

If AI repeats a criticism such as “support is slow”, check whether it is true. If it was true but you fixed it, publish what changed and invite recent customers to share their experience. If it is still true, fixing the problem is the real answer. Trying to bury honest criticism with fake reviews tends to fail and can damage trust.

Step 6: Shape the Comparison

Many descriptions come from comparisons. Publish fair comparison pages that explain who you are best for and where competitors may be a better fit. Assistants can reuse balanced content more easily than one-sided sales copy.

Step 7: Monitor Over Time

Repeat your questions monthly. Changes from live search can show up within weeks; changes in what models know from training take longer. Track progress against your reference description. Our guide to measuring AI visibility explains how.
