Keeping Corporate Information Accurate in AI Answers
For larger companies, AI answers often mix up subsidiaries, leaders, figures and products. Here is how to organise official information so assistants get it right.

Larger companies often find AI assistants repeating outdated leadership names, merged product lines, old headquarters or wrong figures. The fix is not a special data feed to the AI companies, which does not exist publicly. It is good information governance: one public source of truth for corporate facts, consistent use of that information across official channels, and regular checks of what assistants say.
Why Corporate Facts Go Wrong
- Mergers and rebrands leave old names on many third-party sites.
- Subsidiaries and regional sites describe the group in different ways.
- Press releases from years ago still rank and get quoted.
- Executive changes are not updated on profiles and partner pages.
- Product names differ between markets and languages.
Build a Public Source of Truth
Create a corporate facts page, often called “Company facts” or “About us at a glance”, and keep it current. Include legal and trading names, headquarters, main locations, leadership, business units, main brands, founding year and a short plain description. Every other channel should match this page. Communications, legal and marketing should agree on its content and review it on a schedule.
Clean Up the Newsroom
Old press releases are useful history but can confuse assistants. Add a short note at the top of outdated releases, such as “This brand is now part of X since 2024”, and link to the current page. Make sure the newsroom lists current spokespeople and correct boilerplate text. If you distribute releases, check that the distribution versions are accurate too; see press release distribution for AI.
Map Brands and Subsidiaries Clearly
If your group owns several brands, publish a simple page explaining the relationships. Use Organization structured data with properties such as parentOrganization, subOrganization and sameAs links to official profiles. This helps machines connect entities correctly. Our page on knowledge graph authority explains the entity side.
Align Third-Party Profiles
- Business databases and stock exchange profiles where applicable.
- Professional network company pages.
- Wikidata and, where the company meets notability rules, Wikipedia, edited according to those platforms’ conflict-of-interest policies.
- Industry directories, supplier portals and partner listings.
- Regional sites and local language pages.
Set Up Governance
Assign an owner for public corporate facts, usually in communications. Create a trigger list of events that require updates: new executive, acquisition, new market, product renamed, office moved. Each event starts a checklist covering the website, newsroom, structured data and key external profiles.
Check What Assistants Say
Each quarter, ask several assistants questions such as “Who is the CEO of [company]?”, “What brands does [company] own?” and “Where is [company] headquartered?” Record errors and trace their likely source. Fix the source rather than complaining about the answer. Assistants with live search may update after re-crawling; built-in model knowledge changes with new versions.
Languages and Regions
Multinational groups should check answers in the main languages they operate in. Local subsidiaries often have older descriptions or translated names that differ from the group’s current wording. Give regional teams the same facts page, translated, and include them in the update checklist so every market tells the same story.
