How to Keep Control of Your Brand Story Across AI Sources
Practical ways to decide where your content appears, keep the official version clear, and reduce the chance that AI repeats someone else’s version of your story.

You cannot control what an AI assistant says, but you can control much of the information it draws from. The practical approach is to create one clear, official version of your key facts, publish it where you own it, and make sure partners, directories and syndicated copies follow it. When most sources agree with your version, assistants are more likely to repeat it.
Start With a Brand Fact Sheet
Write a one-page document with the facts you want described consistently:
- Legal and trading name, and any former names
- One-sentence description of what you do and for whom
- Locations, service area and languages
- Products or services with current prices or ranges
- Founding year, key people and contact details
This becomes the reference for your website, profiles, press kit and partners. Publish the public parts on an “About” or press page.
Make Your Own Site the Canonical Source
When you republish an article on another platform, such as a business blog network or a partner’s site, ask for a canonical link pointing to your original, or at least a clear link back. This helps search engines and AI systems see where the original lives.
Set Rules for Partners and Resellers
Partners often describe you in their own words, and those words can drift. Give them:
- Your approved short and long descriptions
- Your logo and current product names
- A request to update listings when you change prices or products
Check partner pages twice a year. Outdated partner descriptions are a common source of AI errors.
Claim and Maintain Your Profiles
Unclaimed directory and maps listings can be edited by others or filled automatically from old data. Claim the ones in your sector, fill them out and set a reminder to review them. See directory listings for AI crawlers for which types matter.
Decide What to Keep Private
Some content should not be widely distributed: internal pricing for large clients, draft product plans, member-only material. Keep these behind a login, and use robots.txt rules for folders you do not want crawled. Our guide on protecting content from AI while staying visible explains the trade-offs.
Respond to Third-Party Content
Reviews, forum threads and news articles will also shape how AI describes you. You cannot delete them, but you can:
- Reply publicly and politely to reviews, with facts
- Ask publishers to correct factual errors
- Publish clear answers to recurring complaints on your own site
Never answer criticism with fake reviews or anonymous posts. That tends to make things worse when discovered.
Check Regularly
Every month, ask a few assistants how they describe your business and compare the answer with your fact sheet. Where they differ, look for the source and fix it there.
Assign an Owner
Information drifts when nobody is responsible for it. Give one person the job of keeping the fact sheet current and telling others when something changes. In a small business this might be the owner; in a larger one, marketing or operations. That person should also keep a list of every profile, partner page and listing that mentions you, so updates do not get missed. When prices, products or locations change, they work through the list the same week.
