To make sure AI assistants show your correct contact details, publish one official phone number, email and address, use them identically everywhere, and remove or update every old version you can find. Assistants pick up contact details from your website, map profiles, directories and other pages that mention you, so an old number on one popular directory can keep resurfacing until it is fixed.

Why contact errors happen

  • You changed phone numbers but old listings still show the previous one.
  • Different staff created different profiles over the years.
  • A tracking number used in an ad campaign was copied onto directories.
  • You moved offices and some sites still list the old address.
  • A former partner or supplier page lists a personal email of an ex-employee.

Each of these creates a competing version of your details on the web.

Step 1: Check what assistants say

Ask several assistants: “What is the phone number of [business] in [city]?”, “How do I contact [business]?”, and “What is the address of [business]?”. If an assistant shows sources, such as Perplexity or Copilot, note which pages it used. Record any wrong details.

Step 2: Set your official details

Choose one main phone number, one general email address (a shared role address like contact@ rather than a personal one), and one exact address format. Decide on small details too: “Rue” or “R.”, with or without floor number. Consistency is the point.

Step 3: Fix your own website

  1. Update the contact page, footer, about page and any landing pages.
  2. Write contact details as text, not images, so they can be read reliably.
  3. Update your Organization or LocalBusiness schema with the same details. See JSON-LD for company information.
  4. Search your site for old numbers and emails, including in PDFs and old blog posts.

Step 4: Fix the main listings

Update Google Business Profile, Bing Places and Apple Business Connect first. Then social profiles, industry directories and review sites. If you find duplicate listings, ask the platform to merge or remove them rather than leaving an old one active.

Step 5: Ask third parties to update

For partner sites, associations and old press articles with wrong details, send a short, polite request with the correct information and a link to your contact page. Not everyone will respond, but the most visible ones often do.

Step 6: Report errors and re-check

Most assistants let you give feedback on an answer. Use it to flag factual errors. Then re-check in a few weeks. Assistants that search the web live usually reflect corrections sooner than answers based on older training data. If the error persists, look again for a source you missed. Our guide on fixing wrong contact details in AI covers stubborn cases.

Special cases

If you have several branches, give each one its own page and its own listing with its own phone number, so assistants do not mix them up. If you work from home and do not want your address public, use a service-area listing instead of an address, and make sure no directory shows your home address. If you changed your company name, mention the former name once on your about page (“formerly known as…”) so assistants can connect the old and new records.

Protect against future errors

  • Keep a list of every place your contact details appear.
  • Use call tracking numbers only on ads, never on listings.
  • When anything changes, update all listings the same week.
  • Re-check assistant answers every few months.
