An AI ranking report shows how often AI assistants mention your brand for a set of buyer prompts, how you compare with competitors, and what sources and descriptions appear. Read it top-down: start with the overall trend, then the prompts that changed, then the reasons. End every review with two or three concrete tasks, or the report has not done its job.

Section 1: The headline numbers

Most reports open with a summary, such as the share of tracked prompts where you appear, by assistant, compared with last period. Read these as direction, not precise truth. AI answers vary between runs, so small swings are normal. A steady rise or fall over two or three periods is what matters.

Section 2: Prompt-level results

This is the heart of the report. For each prompt you will see whether you were mentioned, where in the answer, and who else appeared. Sort it three ways:

  • Lost: prompts where you appeared before and no longer do. Investigate first.
  • Won: new appearances. Note what you did recently that might explain them.
  • Never: prompts where you have never appeared. These are content opportunities.

Section 3: Competitors

Look for patterns rather than single results. If one competitor appears in most “best for small business” prompts, study what they publish and where they are reviewed. If a new name shows up across several prompts, find out what changed for them.

Section 4: Sources and citations

For assistants that show links, the report lists cited pages. Group them by type: your own pages, competitor pages, review sites, directories, news and blogs. If review sites dominate, reviews are your lever. If guides dominate, content is your lever. Our page on AI monitoring and reporting tools covers how different tools present this.

Section 5: How you are described

Read a sample of the actual answer text. Are your prices right? Your locations? Your main product? A report may flag mismatches, but a quick human read often catches tone problems too, such as being described as “basic” when you sell a premium service.

Turning the report into tasks

A simple rule: one task per section that showed a problem. For example:

  1. Lost prompt “best bike shop in Ghent”: check whether your opening hours changed online and update all listings.
  2. Competitor dominates “e-bike repair cost”: write a clear pricing page with real ranges.
  3. Review site cited often: ask recent customers for honest reviews there.

Sharing the report with others

Managers rarely need prompt-level detail. Give them the trend, the top three wins and losses, and the actions you are taking. Keep the detailed data for the people doing the work. If you need help explaining results, our guide to measuring AI visibility gives simple definitions you can reuse.

How often to review

Monthly suits most businesses. Weekly reviews tend to chase noise unless you are in a fast-moving market or have just launched something. Pick a fixed day, block an hour, and keep notes on what you decided, so next month’s review starts from your last actions.

Mistakes when reading reports

  • Reacting to one week’s change.
  • Changing your prompt list every month, which makes comparison impossible.
  • Reading the numbers without reading any real answers.
  • Treating the report as a promise of future results rather than a snapshot.
