A case study helps AI visibility when it is a real, permitted story with specific details: who the customer was, what problem they had, what you did and what changed. Published on your site in plain text and referenced elsewhere, it gives assistants concrete evidence about what your business does and for whom. Vague, anonymous success stories add little.

Why Case Studies Matter for AI Answers

When a buyer asks “which agency has experience with dental clinics?” or “has anyone used this software for a warehouse of 50 people?”, assistants look for evidence. A clear case study can supply it: a named sector, a size, a problem and an outcome. It also helps assistants describe your typical customers correctly.

Get Permission First

Only publish real stories with the customer’s written agreement, and let them review the text. If a client cannot be named, describe them honestly (“a 30-person logistics firm in Rotterdam”) and say they asked to stay anonymous. Never invent customers, quotes or results. Made-up case studies are misleading, and they can damage trust in all your content.

A Structure That Is Easy to Extract

  1. Summary (2–3 sentences): who, what problem, what you did, what changed.
  2. The customer: sector, size, location, relevant context.
  3. The challenge: the specific problem in the customer’s own terms.
  4. What you did: steps, tools and timeline.
  5. The outcome: what changed, stated carefully. Use numbers only if they are real and the customer agrees.
  6. Customer quote: a genuine sentence or two, with name and role if permitted.

Use headings for each part so the story can be read in pieces. See how to structure a page for AI extraction for formatting tips.

Be Precise About Results

“Saved a lot of time” is vague. “Reduced the time to prepare weekly orders from about four hours to one, according to the client’s operations manager” is specific and attributed. If you cannot measure an outcome, describe what changed in practice instead of guessing a figure.

Where to Distribute Case Studies

  • Your website: a dedicated page per case study, plus a hub page listing them by sector.
  • The customer’s channels: with their agreement, they may mention the project on their own site or news page.
  • Industry publications: some trade media publish practical project stories, especially when they teach something.
  • Directory and marketplace profiles: many let you add portfolio items or project summaries.
  • Award entries: sector awards often publish shortlisted projects.

Link Case Studies to Your Service Pages

Each service page should link to the most relevant case studies, and each case study should link back. This helps both readers and AI systems connect your claims (“we work with dental clinics”) with evidence.

Keep Them Current

Add a date to every case study. Older stories are still useful, but if a product or service has changed a lot, add a short note explaining what is different today.

Common Mistakes

  • Publishing case studies only as PDF downloads
  • Using logos without any written story
  • Exaggerating outcomes beyond what the customer would confirm
  • Making every case study sound identical
